Ensure 'accessibility information' is at the top of the website for voiceover users
Ensure clear 'how to get there' instructions and include details of access to and from transport hubs like stations/ bus stops.
If necessary, create a specific access plan for visitors with additional needs.
Details of car parking location and shuttle bus service and drop off area
Outline if there is stepped access
Be clear whether or not children are allowed in the halls/welcomed at the event
Outline what facilities there are available for children
Indicate if there is family parking and where it is located.
Be clear about cost for families and any discounts.
Have a map with facilities draw/ indicated on the map and a voice recording announcing where everything can be located.
If the event includes activities for children ensure there is a buggy park and that it is clearly indicated on the map/ information signs.
Make sure you send out info that helps attendees plan attendance in advance, especially important for anyone who experiences pre-event anxiety
Enable predictability and reduce uncertainty through planning, information, comms. The more that is known in advance the better. Use mapping, photos, promo videos but be careful if using footage that may change. Send out photos, front of venue, example of creche and maps with useful icons .
Video of the routes to the venue from either carparks, public transport or tubes and trains. Where taxis pick up and drop off from. And facilities within the venue.
Be explicit in your communication about what the limitations of the space are.
If any areas are not accessible make it clear from the outset to manage expectations. For example, iIf you don't have ramps for stages or stands or you are not providing BSL say so so that attendees are fully informed.
